The New Jersey School Boards Association is seeking an administrative assistant to support general operations and logistics.

The full-time Monday to Friday position offers a starting salary of $40,000 to $45,000 per year.

About the Role

Serve as a receptionist and direct phone calls to appropriate staff.

Responsibilities

  • Answer and direct incoming telephone calls. Take telephone messages when necessary for Association staff.
  • Control visitor access to the building interior floors.
  • Greet guests in a professional, friendly, hospitable manner. Maintain guest sign-in book.
  • Operate paging system.
  • Provide operator assistance to Association staff.
  • Monitor and report trouble on the telephone system to the manager, general operations and logistics staff for repair service.
  • Assist in training personnel on the switchboard.
  • Sort incoming mail for distribution to Association staff.
  • Assist other departments as requested or assigned with typing, collating, and other clerical tasks.
  • Assist with preparation of materials as required at Association delegate assemblies, workshops and conferences and seminars.
  • Send/receive faxed documents.
  • Generate, oversee and update NJSBA calendar.
  • Available to work evenings and weekends as required.
  • Perform other duties as assigned.

Education and Experience

  • High school diploma or equivalency.
  • Minimum of three years’ experience as an administrative assistant.
  • Proficient in Microsoft Office 365 Apps including Teams, Lists, SharePoint, One Drive, Forms and traditional Office Apps, including Word, Excel, PowerPoint and Outlook.

Knowledge, Skills and Competencies

Demonstrated ability to operate telephone console. Excellent telephone etiquette and professional manner. Demonstrated ability to perform routine clerical tasks, including accurate typing and proofreading skills.
